Customer Database - Allows you to Add, Edit and View the Customer Database. These are the Customers that can be sent an ISO Survey. When you Send an Email ISO Survey Request To a Customer, the Customers name is used as indexing point to generate the reports used in the program. Hence, you should always have an entry in the Customer Database for the survey form you are sending. The name appearing in the customer database can also reference a specific project. For instance, Boeing has many different divisions and programs. You can key in on a specific division and or program by adding a customer named, Boeing-Seattle-Wing Spar . You would select this company name in the Email Survey Requests with the appropriate email address for the client. The returning link to fill out the survey, contained in the email going to the client, will automatically fill in the Boeing-Seattle-Wing Spar as the company name, giving you an easy way to track project performance and generate reports. Note that Customers can be Deleted, Marked as Active or Inactive in the database. Those which are marked as Inactive, are excluded from the results when a report is run.
Send Email Survey Request to Customers - Allows you to generate a survey request form. The form begins with a default Subject and Body which can be edited specifically for the customer. You will need the contacts email address, and edit the first line of the message starting out with Dear : i.e. change to Dear Bob (or whatever). The form starts out with a Company Selection that is generated from the Customer Database choice above. Enter in email address, edit the subject and body, if necessary. You will notice several coded entries in the body of the message. For example, *COMPANY* in the body of the message will automatically change to the entry placed in the *COMPANY* text box. This allows you to quickly change the message for various divisions of your company or other option. The *LINK* coded entry, will place the survey link in the message at that location. Same for the *MAILLINK* , which will place the return email link into the message. Selecting the PROCESS MESSAGE button will show you a copy of the email message that will be sent to the customer. Select the VERIFIED - SEND EMAIL button if the message is acceptable. If not, Select the EDIT MESSAGE button. You will receive an acknowledgement that the message has been sent on your screen. Once completed, you will be returned to the message generation screen where you can go through the process again, or return to the main menu. All actions are recorded in the activity log for future review.
Open Action Items - The Internal ISO Survey Report, generated by members of your company, allows you to enter Action Items. This selection will list the open action items on all the submitted Internal ISO Survey Reports. It lists the employee responsible, Action, Due Date and gives you the ability to mark the action item as IN PROCESS or CLOSED. When you CLOSE a selected action, an email is automatically sent to all employees who have an action item, along with the original author of the Survey form.
Reports - Are generated by selecting the appropriate monthly database(s), the Customer(s) and the company/division. Selecting PROCESS REPORT, will begin the report. The initial page of the report is a complete overview. At the top of the page are options to just view the individual sections of the report, which can be easily printed by clicking on the PRINT option near the top right corner of the window.
Internal Survey Form - Generates the Internal ISO Survey Form which is to be used to record direct customer feedback. Here again, you will need to make sure the selected company , is already in the Customer Database. ( Why? because all the reports are keyed off the Customers name. ) Fill out the form, select the employees that you need to assign action items along with their due date. Once you hit the SUBMIT BUTTON at the bottom of the page, the form will be emailed to you and each of the employees who have an action item. Additionally, all open action items will appear in the OPEN ACTION ITEMS selection from the main menu. Note the RETURN TO MAIN MENU link at the top right of you screen, which will abandon the generated form and bring you to the main menu. As with all forms, a Survey Number will be automatically generated to keep track of the form. This consists of the Month,Date,Year - Number Of Seconds since midnight i.e.04122005-66956.
Company Employee Administration - Functions like the Customer Database except for Employees who have access to this program. Only Employees who have ADMINISTRATIVE access will see this menu option. It allows you to add, delete and view the employees who can access this program. Any employee that will need to interact with the forms generated from this program will need to be in the Company Employee database. This means that they can be selected for ACTION ITEMS in the internal survey form, an also have access to most of the programs functions. Employees can have access levels of ADMINISTRATOR or USER.
Activity Log - Allows you to view program activity. Only the last 200 lines of the activity log are shown. The entries show the location the program was accessed from, date, time, user name (email) and activity. It also keeps track of customers who respond to survey questions and any emails that are sent. Only Employees who have ADMINISTRATIVE access will see this menu option. Back to Top
